equine Passports – general information
The HPA Passport Office issues passports to polo ponies. The HPA is now able to display parentage in the passport. For the purpose of the information contained on our website ‘horse’ refers to polo ponies or thoroughbreds.
It is vital that you read all information before completing a passport application
Turnaround time
The current turnaround time for new passports, duplicates, changes, or upgrades is approximately 2-3 weeks from when payment is made. Passports will not be issued before payment is received. Please note that this is an estimate and not a guarantee. If you need your passport sooner, please ensure you tick the box for an expedited passport, and be aware that this will incur additional fees.
Key information
- A horse can only have one passport in its lifetime. This passport will accompany the horse throughout its life.
- For changes of ownership, a signed change of ownership form OR proof of purchase must be supplied
- Payments must be made before passports are returned. If you prefer not to include card details on the form, we will call you for payment.
New Passports
Only for horses that do not have an existing passport with any organisation. A vet must come and see the horse and complete the forms. If the horse has been previously issued with an HPA passport, it will be classed as a Replacement or Duplicate passport. Horses do not need an HPA passport to play polo – if your horse has a non-HPA passport, please see the information for Registration below.
Replacement or Duplicate Passports
The process for obtaining a duplicate or replacement passport is the same as a new passport, a vet must come and see the horse and complete the forms.
Lost your horse’s passport? The HPA can only reissue passports that we have originally issued. You’re breaking the law if you apply for a new, replacement, or duplicate passport when the original is not lost.
Upgrades
Please use the Upgrade Form to apply to change an old, fawn-coloured HPA passport to a new, blue one. New passports allow breeding to be recorded and change the horse’s status to a ‘Registered Equine’. A vet must complete the markings and identification pages.
Change of ownership
Please send the passport and completed change of ownership form to the HPA office.
If you cannot get a signature from the previous owner please include a copy of any form of proof of purchase.
Please note we can only change the ownership in HPA passports. Non-HPA passports must be returned to their original issuing authority to have the ownership changed. Once the ownership has been changed in a non-HPA passport please send it to the HPA for registration for playing polo.
HPA Registration
Before you can register a non-HPA passport with the HPA you must change the ownership with the original passport issuing organisation. Once the passport is in the correct ownership with the original PIO please send it into the HPA.
Many polo ponies with non-HPA passports have a Weatherbys passport, please CLICK HERE to complete the change of ownership with Weatherbys before sending passports to the HPA for registration.
For non-HPA passported equines playing polo we ask that you register their passports with us. This means they will be covered by the third party public liability insurance you get with your membership providing you are eligible.
Deceased Equines
In the event of the death of your horse, the passport should be returned to the original Passport Issuing Organisation (PIO) within 30 days.
If you would like the passport returned for sentimental value, please include a SAE and we will return it to you. There is no cost for this service. Every PIO must comply fully with equine identification legislation, therefore when you receive your returned horse’s passport, each page will be stamped ‘deceased’ and a corner will be cut to invalidate the passport.
